Once you’ve created the roles you need, you can give them to people in two places: the Roles & Permissions page, or a member’s edit form in Users and Devices. Both do the same thing.
From Roles & Permissions
- Go to Local → Edit local (or choose Union Settings from the menu under your local’s name, top right) and click the Roles & Permissions tab.
- In the Who has access table, click Give someone access. (To change the roles of someone already listed, click Edit on their row instead and skip to step 4.)
- Search for the member by name or email, select them, and click Next.
- Tick the roles this person should have (untick a role to take it away), then click Save.
From Users and Devices
- Login to the app manager.
- From the menu on the left, click Users and Devices.
- Find the person (use the search box if needed) and click the green Edit button on their row.
- Find the Roles field and click it to open the list.

- Pick a role from the list. Roles are grouped into Built-in (Administrator, Content manager) and Custom roles (the ones you’ve created).
- Scroll down and click Finish to save.
A member can hold more than one role
You can give a person as many roles as you like: tick several in the Roles & Permissions dialog, or add several to the Roles field, where each one appears as a pill. The person’s access is the combination of all their roles — so someone with an “Events editor” role and a “News editor” role can manage both. To remove a role, untick it in the dialog, or click the × on its pill, then save.
Assigning a role that includes admin capabilities makes that person an admin of your local — they’ll be able to log into the app manager and use whatever their roles allow.
You can only give what you have
To keep access under control, you can only assign roles whose access you hold yourself. You won’t be able to grant a capability you don’t have, and if your own access is limited to certain bargaining units, groups, or locations, you can only assign roles within that same scope. (Assigning roles needs the Local Settings capability. Using the Users and Devices route also needs Users & Devices, since that’s what opens the member’s edit form.)
